Event Services

Transportation Services offers a comprehensive event parking program that manages vehicular, bike, and pedestrian access, provides parking convenience, and supports a positive experience at events on the Davis campus. Groups hosting events with over 50 people should reach out to our team for guidance on permit options, potential conflicts with other campus events or construction activity, and other important considerations to help ensure a smooth experience.

Services are also available for Departments who want to host permit costs for event parking at Aggie Square Garage, at Aggie Square in Sacramento.
 

Getting Started

To get started, an authorized department representative will need to request an AggiePark Departmental Events & Access Account. When filling out the request form, you will be prompted to provide a primary events contact, a list of additional authorized department requestors, and a billing contact. Employees can only be set up as requestors with proxy access to one departmental account, but each order submitted under the account will be billed to whatever Aggie Enterprise chart string/CoA is entered when the request is placed - with no limit to how many or which CoA's can be used under each departmental account. Please keep this in mind when deciding how to set up accounts for your department and any sub-units, and which staff to assign to each Events account.  

Please allow up to 7 business days to process your request. Once approved, authorized requestors will be provided with instructions for placing orders for event services on campus and at Aggie Square, and for issuing Departmental Guest Parking (DGP) permits to guests and visitors for campus parking.

To add or remove requestors on an existing account, DO NOT complete a new application. Please email [email protected] with the dept account number, and the name, email and phone number of the employee(s) you wish to add or remove.

Please note that our standard setup fee will be added to all orders, with the exception of requests for attendee paid event permits and Departmental Guest Permits.

Services listed below are available only for the UC Davis campus, with the exception of department hosted permits - which are also available for use at Aggie Square Garage.

  • Departmental Guest Permits (DGPs) | Choose this option for smaller events where guests are known.
  • DGP invitations are emailed directly to known guests from the department’s online events account. Guests enter their contact and vehicle information to claim their permit, and departments are recharged only for the permits claimed. DGPs are valid in all A, C+, C, L, and F zones.

  • Reserved Parking Spaces | Choose this option if you would like to reserve parking spaces for your guests.
  • Reserved parking spaces for guests can be requested for weekday and weekend events. Please note that additional costs may be required for larger setups or requests submitted with less than three business days' notice.
  • Virtual Event Permits | Event parking permits are an option for any size event where individual attendees aren't known.
  • Virtual conference permits are designed to provide parking for up to five sequential event dates. You can choose "department hosted" permits if you wish to pay parking fees on behalf of your guests, or "attendee paid" permits if guests will be paying their own parking costs. We can even set up your event with both options, to allow the department to pay costs for some guests and have the remainder purchase their own permits.
  • Parking Attendants | Choose or add this option if you would like parking attendants to staff the parking lot(s) at your event.
  • This is a good option for departments that want the added customer service of a parking attendant to provide parking information to guests and support traffic control. For large events that require traffic control, attendants are required but are provided at no cost to the department when permit requirements are in effect. 
  • Digital Message Boards | Message boards are helpful tools for sharing important information with your guests.
  • Digital message boards are a good option for departments that want the added customer service of sharing a welcome message or important information like traffic directions with their guests within the parking lot/area or on-street. 
 

Center Core Access for Events

Center Core access is available for those transporting heavy or bulky equipment and time or temperature-sensitive materials. Please note that access requests are not currently available through the online events portal.

  • For short-term loading/unloading (30 minutes or less), drivers can get a complimentary pass at the information kiosk on West Hutchison Drive, Monday through Friday, 7 a.m. to 5 p.m., valid in designated spaces.
  • For longer-term access, non-designated spaces, or times outside of kiosk hours, please email [email protected] for a temporary gate code and/or vehicle permits, with the following information:
    • Department or Vendor Name
    • Justification for the request – indicate what business need the access is for, and briefly note why other parking options outside the center core don’t meet that need
    • Event Details (Dates, Duration, Location)
    • Vehicle Type (Exempt, Personal, Vendor) and Number of Permits Needed - limited only to what is absolutely necessary
    • dates and length of time needed for active loading/unloading per trip (this shouldn’t include any setup or work that doesn’t truly require having the vehicle nearby)
    • Aggie Enterprise chart string to bill cost to

Set Up/Processing Fee (automatically applied to all reserved space setups and orders that require billing to department, with the exception of DGP permits)$95 per hour, or fraction thereof
Mobility Assistance Shuttles (Max of 3 carts, availability may be limited)$130 per cart per day, plus attendant/driver costs
Long-Term Dedicated Spaces for Departmental Use (provided by exception only, requires MOU to be established)$95 per month per space
